1. Project Justification & Objectives

The current SAP setup across multiple business segments presents manual workarounds, user frustration, and process bottlenecks. This project will identify system and process gaps, eliminate user pain points, formalize operational documentation, and heavily invest in key-user enablement to maximize the organization's return on investment (ROI) in SAP.

High-Level Objectives:

• Identify & Document Gaps: Evaluate the "As-Is" system state against industry best practices and core business needs.
• Standardize Operations: Eliminate custom "Z-transaction" dependencies or off-system excel workarounds by creating uniform Standard Operating Procedures (SOPs).
• Empower Streams: Build a self-sustaining network of Key Users capable of handling first-line support and troubleshooting.
• Future-Proof: Deliver an actionable, phased IT roadmap for SAP stabilization, upgrades, or module rollouts.

2. Scope Description & Key Deliverables

The project will be executed across all core business segments (e.g., Finance, Supply Chain, Procurement, Manufacturing, Sales) and is divided into three distinct phases:

Phase I: Diagnostic & Gap Analysis

• As-Is Process Mapping Workshops: Interviews with process owners to shadow live transactions and uncover hidden bottlenecks.
• Technical & Functional Fit-Gap Matrix: A comprehensive document cataloging where SAP falls short, where data integrity is compromised, and where underutilized standard features can solve issues.
• Pain Point Root-Cause Analysis: A report detailing why current friction points exist (e.g., bad master data, lack of training, configuration errors).

Phase II: Enablement & Standardization

• Stream-Specific Training Curriculum: Custom training materials built around actual business scenarios, rather than standard, generic SAP click-throughs.
• Key User Train-the-Trainer Sessions: Focused workshops to elevate select employees to "Power Users" per stream.
• Procedures & Guidelines Library: Step-by-step Standard Operating Procedures (SOPs), quick-reference guides, and system governance rules to ensure future data discipline.

Phase III: Strategic Roadmapping

• The SAP Master Roadmap: A phased timeline mapping out quick wins (immediate configuration fixes, layout changes) vs. long-term initiatives (custom code refactoring, module activations, or preparing for an S/4HANA migration).

• Operational Availability: Business segment leads and key users must balance their day-to-day operations with diagnostic workshops and training sessions.
• System Access: The external analysis expert will require appropriate read/audit permissions across production and staging environments promptly.

Assumptions

• Executive leadership will empower the project team to enforce SAP standard practices over historically customized "comfort zone" processes.
• Selected Key Users have the foundational business process knowledge required to absorb advanced stream training.
