About the Role
- We are looking for a highly organized and detail-oriented IT Tender & Sales Documentation Coordinator to support our team with tender research, bid documentation, procurement platform management, and submission preparation across European, UK, and US markets.
- This role is ideal for someone who enjoys working with structured information, deadlines, online platforms, and detailed documentation.
- You will help the company identify relevant tender opportunities, prepare accurate submission packages, and ensure that all requirements are completed correctly and on time.
- The position is especially relevant for candidates with experience in tenders, bid support, inbound sales, operations, procurement documentation, or administrative documentation.

Key Responsibilities
You will be responsible for:
- Searching and monitoring tender opportunities on procurement platforms across Europe, the UK, and the US
- Registering and maintaining company profiles on tender and procurement platforms
- Analyzing tender requirements, procurement documents, and qualification criteria
- Identifying required submission materials, forms, declarations, and supporting documents
- Preparing, structuring, and organizing tender documentation packages
- Coordinating document collection with internal stakeholders
- Supporting the preparation of sales, bid, and compliance documentation
- Submitting tender applications through online procurement platforms
- Tracking submission deadlines and maintaining tender status records
- Working with templates, spreadsheets, forms, compliance documents, and online systems
- Ensuring accuracy, completeness, and consistency of all submitted documentation
Required Skills & Qualifications
We are looking for someone with:
- Experience working with tenders, procurement documentation, bids, sales documentation, or administrative documentation
- English level: B1+
- Strong attention to detail and a high level of accuracy
- Ability to quickly understand, analyze, and process complex documentation
- Excellent organizational and time-management skills
- Ability to work independently and meet strict deadlines
- Strong analytical and structured thinking
- Confident Microsoft Office skills, especially Word and Excel
Nice to Have
It would be a plus if you have:
- Experience working with international tender platforms
- Experience in IT, SaaS, software development, outsourcing, or B2B service companies
- Understanding of procurement procedures in Europe, the UK, or the US
- Experience supporting sales or proposal preparation
- Ability to use AI tools for research, documentation preparation, data structuring, and process optimization, such as ChatGPT, Claude, or other AI assistants
